What is “Domain Alias” in Google Apps & How to Use it To Save Money

There is no doubt that having a professional email address like “yourname@domain.com” is a necessary thing & if you don’t have it, you are missing out on a lot.

You might say, “It’s just an email address & why does it matter?”

Let me tell you why:

Your domain email address creates a really good impression. If you use a generic email address to send or receive email, you may not be taken seriously until you are already super popular.

Today, I will talk about the Google Apps “Domain Alias” feature which will help you save a lot of money for your team or organization where you are using multiple domains.

What is Domain Alias & How Does it Work?

Even though domain aliases are an old technique, it is not that well-known to many.

One common mistake a lot of webmasters make is they sign up for a new email account for all their domains to get a professional email address & then they pay for each one separately per user per year.

This is the most common practice among new entrepreneurs & webmasters.

If you have multiple domains within the same organizational structure, by not using the Domain Alias feature, you are:

  • Paying extra for each domain email address
  • Making it hard to maintain so many email addresses
  • Doing extra work to maintain the Google Apps administrator account

I’ll quickly explain the Domain Alias feature so that you know how it will save you an email address management headache.

Let’s say you have the domain name “Work.com” & you have set up Google Apps to manage your domain email address. You have created following two domain email addresses:

  • Maria@work.com
  • John@work.com

After a while, your business started growing & you added a new domain name called “Alias.com”. Instead of buying another account from Google Apps, or any other service, you login to the “Work.com” Google Apps dashboard & add “Alias.com” as a domain alias.

By doing this, what you are achieving is:

Any email which is coming to Maria@alias.com will automatically be directed toMaria@work.com. In short, you are giving users multiple email identities at domains other than the primary domain.

This is handy when you have multiple domains &  you want to have all of them be used for their individual branding purposes. This is how I use it here on MustTipsTricks.

So, I have the email addresses:

  • service@MustTipsTricks.blogspt.com, enquiries@MustTipsTricks.blogspt.com &tips@MustTipsTricks.blogspt.com

Whenever I start a new blog, (example: WiseTipsTricks.blogspt.com) I add it as a domain alias.

Instantly I now have the domain email addresses:

  • service@WiseTipsTricks.blogspt.com, enquiries@WiseTipsTricks.blogspt.com &tips@WiseTipsTricks.blogspt.com

This takes just 5 minutes of work.

Benefits of the Domain Alias feature:

  • You don’t have to manage a separate email address
  • You don’t have to create new email addresses. All existing domain email addresses will have the same email addresses on your new domain alias.

To add a new domain as a Domain Alias in Google Apps:

  • Login to your Google Apps admin dashboard and click on “Domains”:

  • Click “Add/remove domains”:

From here you need to do following things:

  • Add a new domain as a domain alias
  • Verify domain ownership
  • Setup MX record

That’s it. If you have already created a professional email address using Google Apps, you are aware of the process of domain verification & configuring the MX record.
